Job Description

As a Receptionist/Administrative Assistant at Exhibit Experience, you will be the welcoming face of our company, creating a positive and professional first impression for clients, visitors, and team members. You will play a crucial role in ensuring the smooth operation of our office by providing administrative support and maintaining a well-organized workspace. If you have exceptional communication skills, a strong attention to detail, and a proactive attitude, this role offers a fantastic opportunity to be an integral part of our dynamic team.

Responsibilities

  • Greet and welcome visitors, clients, and team members with a warm and professional demeanor.
  • Answer and direct incoming phone calls, taking messages and relaying information as needed.
  • Manage the reception area, ensuring it is tidy, organized, and represents the company’s brand image.
  • Assist with scheduling appointments, meetings, and conference room bookings.
  • Handle incoming and outgoing mail and packages, distributing them to the appropriate recipients.
  • Maintain office supplies by monitoring inventory and placing orders when necessary.
  • Assist in coordinating travel arrangements and accommodations for team members.
  • Provide administrative support to various departments, including data entry, filing, and documentation.
  • Collaborate with the finance team to assist with invoicing and basic bookkeeping tasks.
  • Assist in organizing company events, meetings, and team-building activities.
  • Maintain and update company databases and contact lists.
  • Uphold a high level of confidentiality and professionalism in handling sensitive information.

Qualifications

  • Previous experience in a receptionist or administrative assistant role is preferred.
  • Excellent verbal and written communication skills.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic office equipment.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize responsibilities effectively.
  • Customer-focused mindset with a friendly and positive attitude.
  • Adaptability to handle various situations and tasks in a fast-paced environment.
  • A proactive and self-motivated approach to work.
  • Discretion in dealing with confidential information.
  • Knowledge of basic bookkeeping and invoicing processes is a plus.
  • Able to commute to Orlando office
